Overview:
Ultimate Staffing is seeking a highly organized and tech-savvy Service Coordinator to support our client's field service operations. This role is responsible for managing daily service requests, scheduling field technicians, ensuring proper documentation, and maintaining seamless communication with customers and internal teams. The ideal candidate has 3-5 years of service coordination experience, preferably within water treatment, industrial equipment, or machinery maintenance.

Key Responsibilities:

  • Serve as the primary point of contact for incoming service requests via phone and email.
  • Coordinate and schedule field service appointments, matching customer needs with technician availability.
  • Maintain the daily/weekly service schedule, proactively communicating changes or updates to customers and technicians.
  • Prepare and distribute all required documentation prior to service start-ups, including reports, pictures, and installation/start-up checklists.
  • Monitor ongoing service activities throughout the day to ensure timely completion and resolve any issues that arise.
  • Support technicians in the field by providing details, confirming parts/equipment needs, and ensuring successful service delivery.
  • Track service progress and follow up on outstanding tasks, reports, and customer confirmations.
  • Maintain accurate records of service calls, schedules, documentation, and communication logs.
  • Utilize MS Office, especially Excel, to organize service data, generate basic reports, and manage documentation.
  • Demonstrate strong multitasking abilities in a fast-paced environment with high call and email volume.

Qualifications:

  • 3-5 years of service coordination or dispatch experience required.
  • Experience in water treatment, filtration, pumps, industrial machinery, or maintenance services strongly preferred.
  • Exceptional communication skills and ability to manage high-volume calls and emails.
  • Proven ability to coordinate multiple schedules and keep track of day-of service workflows.
  • Strong proficiency in Microsoft Office, especially Excel; comfort with issuing reports that include photos and technician notes.
  • Highly organized, detail-oriented, and capable of working independently in a fully remote environment.
  • Strong problem-solving skills and the ability to adapt quickly to changing priorities.

Additional Information:

  • Fully remote position with communication primarily via phone, email, and internal systems.
  • Full-time role with daily coordination across customers, technicians, and internal support teams.
